Africa Re announces the vacancy for the position of Property Management Officer in the General Services Department at its future Head Office under construction in Abuja, Nigeria.

RESPONSIBILITIES

The African Reinsurance Corporation holds residential and commercial real estate properties within its investment portfolios or corporate assets, which are managed on day-to-day operations by third-party property management service providers responsible for leasing, maintenance, and tenant relations.

The Property Management Officer will work alongside third-party property management service providers to oversee corporate-owned properties. The successful candidate will concentrate on administrative oversight, compliance, and coordination, while the day-to-day operations are entirely managed by third-party providers. His collaboration with external property management service providers should ensure efficiency, cost control, and alignment with corporate goals.

The Property Management Officer will be responsible for generating report on the financial performance and overall management of a portfolio of rental properties. This includes the Lagos Head Office building, the Abuja New Head Office building, Lagos Commercial Residential Apartments, and Executive Management residences, etc. The primary duty is to monitor, document, and maintain records of property transactions, report on profitability, and ensure tenant satisfaction, legal compliance, and the preservation of the asset's value. Additionally, will be accountable for carrying out any tasks that may be assigned to him/her at any time.

DUTIES/JOB DETAILS

Under the supervision of the Senior Manager of Engineering and General Services, along with the leadership of the Director of General Services, the in-house Property Management Officer will perform the following core functions:

(1) Communication and Coordination

 Property Oversight - Coordinating with third-party property management service providers and production centers to monitor performance of investments property and aligning activities with corporate objectives.

 Serve as primary liaison — Act as the central hub for all communications between the Corporation and third-party providers, ensuring timely responses to inquiries, updates, and escalations. This includes scheduling regular meetings, disseminating information, and resolving miscommunications.

 Facilitate information flow — Relay internal directives (e.g., policy changes or strategic priorities) to external third-party managers and consolidate feedback or issues from providers back to internal stakeholders and departmental team level.

(2) Reporting and Analytics

 Review and compile reports — Analyze monthly/quarterly reports from third-party providers on metrics like occupancy rates, rental income, maintenance logs, and tenant satisfaction. Prepare summarized versions for internal review, highlighting variances or trends.

 Performance monitoring — Track key performance indicators (KPIs) of third-party providers against service level agreements (SLAs), identifying areas for improvement and recommending actions.

(3) Financial and Budget Management

 Budget oversight — Assist in preparing and monitoring property budgets, reviewing expense reports from external third-party providers, and approving or questioning expenditures to ensure cost efficiency.

 Service Charges - Coordinate with third-party property managers to carry out the monthly apportionments of all utility bills and communicate the details to tenants in the Head office properties.

 Invoice and payment processing — Verify invoices from third-party services providers (professional fees, etc.), coordinate with accounts payable for timely payments, and reconcile financial statements to prevent discrepancies.

 Property Valuations & Fixed Asset Inventory — Ensure the fixed asset inventory and the valuation of the corporate-owned property are carried out periodically, in alignment with the relevant corporate policies and procedures.

(4) Tenants Contracts and Compliance Management

 Contracts administration — Manage tenants contracts with third-party providers, including KYC process, renewals, amendments, and terminations. Ensure all terms are adhered to and negotiate adjustments as needed.

 Regulatory compliance — Oversee adherence to local, state, and federal regulations (e.g., tenancy and housing laws, environmental standards). Coordinate audits, inspections, and documentation to mitigate risks.

 Risk and insurance coordination — Review insurance policies for properties, handle claims processing with providers, and ensure adequate coverage.

(5) Operational Support

 Vendors and subcontractors’ coordination — If third-party property managers engage subcontractors (e.g., for repairs or landscaping), the Property Management Officer reviews selections, monitors performance, and ensures alignment with the Corporation’s standards.

 Data and record management — Maintain centralized databases or systems for property records, leases, tenants information, and historical data. Ensure data accuracy and accessibility for internal teams.

 Issue resolution and escalation — Administratively handle escalated issues from third-party property service providers, such as major repairs or tenant disputes, by coordinating resources and documenting resolutions.

(6) Strategic and Improvement Functions

 Process optimization — Identify inefficiencies in coordination processes and recommend improvements, such as implementing new software tools for reporting or communication.

 Visits and Inspection of property — Regularly monitor and visit the corporate-owned properties to assess the quality of maintenance performed by the facility management team and report any property damage and inefficiencies observed.

 Good knowledge of Real Estate and Facilities Management

 Operations and Maintenance Knowledge — Understanding building systems, preventive maintenance, work order management, and ensuring properties meet safety, regulatory, and compliance standards (e.g., safety regulations, insurance requirements for vendors).

 Project Coordination — Planning, scheduling, and overseeing projects (e.g., repairs, renovations, installations) involving multiple vendors.

 Real Estate and Property Fundamentals — Familiarity with real estate asset management, lease compliance (if applicable), and contributing to master plans for corporate-owned property portfolios.

 Strong Communication — Clear verbal/written skills for liaising with vendors, internal teams, tenants/employees, and leadership; includes conflict resolution, feedback delivery, and relationship building.

 Organizational & Time Management — Ability to multitask, prioritize urgent issues, coordinate multiple contractors across properties, and meet tight deadlines in fast-paced environments.

 Problem-Solving & Analytical Abilities — Identifying issues, analyzing vendor performance data, mitigating risks, and making data-driven decisions to optimize costs and quality.

COMMUNICATION & TEAMWORK

 Speaks and writes clearly and effectively, particularly in report writing and proposals

 Outstanding interpersonal and communication skills, ability to communicate effectively with technical and non-technical audience.

 Fluency in one or the two official languages of the Corporation (French or English) is an added advantage.

 Proficiency in software/tools (e.g., Microsoft Office suite, Yardi, or property management platforms for tracking vendors/work orders).

Academic Qualifications

MINUMUM QUALIFICATIONS AND EXPERIENCE

 Minimum of a Bachelor’s Degree in Real Estate/Facilities Management, Business Administration or Relevant Engineering Degrees (e.g. Electrical or Mechanical) with relevant experiences in Real Estate Management.

 Relevant professional qualifications will be desirable

 Minimum of seven (6) years of relevant work experience is required

 Hands-on experience with corporate-owned commercial/office properties is highly valued.

 Real estate-related and Engineering professional certifications (valuable for demonstrating competence, especially from recognized bodies) like Certified Property Manager (CPM), Certified International Property Specialist (CIPS), Certified Commercial Investment Member (CCIM), Certified Energy Manager (CEM), Certified Electrical Safety Compliance Professional (CESCP), Certified Power Quality Professional, Certified Reliability Engineer (CRE), LEED Accredited Professional (AP) or Project Management Professional (PMP) will be an added advantage.

The successful candidate shall have the following benefits:

 Competitive basic salary on the Corporation’s senior staff (SS) grade level

 Inflation adjustment that may vary, depending on the prevailing economic situation
